Purpose of the Job:
The position exists to provide effective flow of communication through secretarial and administrative support for the Branch manager’s Office and provide effective and courteous support to people contacting SMEDCO and promote a positive image of the company. Key Responsibilities:
• Managing correspondence and alerting the Branch Manager on any document of particular significance and ensuring timeous response.
• Receiving and signing of mail delivered to the office and obtaining relevant telephone numbers and maintaining a telephone and address list
• Managing the office and welcoming clients, referring them to appropriate offices and ensuring clients are served accordingly.
• Managing the Branch Managers diary to ensure adequate planning and for communication and cancellation of appointments.
• Taking minutes at meetings and maintaining records of minutes for reference purposes.
• Monitoring stationery and other supplies required by the Office are available to avoid any disruption of work due to unavailability of stationery.
Minimum Requirements:
• A diploma in Secretarial /Office Management or any relevant qualification
• Knowledge of Excel and Micro soft is an added advantage
• 2 -3 years relevant working experiences
• Exceptional analytical skills
